How to Set Up Email Forwarders

How to Set Up Email Forwarders

Overview

An email forwarder automatically sends incoming email from one address to another.

For example:

contact@example.com
        ↓
yourpersonalemail@example.net

This can be useful when you want an address such as contact@yourdomain.com to deliver messages to another mailbox without maintaining a separate mailbox for it.

Have Freedom Hosting provides email forwarder management through cPanel on hosting plans where the feature is available.

What Is an Email Forwarder?

An email forwarder redirects incoming messages from one email address to another destination.

For example:

sales@example.com
        ↓
yourname@example.com

Someone can continue sending mail to:

sales@example.com

while you receive those messages at another address.

Where Do I Manage Email Forwarders?

If available on your hosting account, you can manage forwarders through:

cPanel → Email → Forwarders

The exact features available may vary depending on your hosting plan and cPanel configuration.

Creating an Email Forwarder

To create a forwarder:

  1. Log in to cPanel.

  2. Open Forwarders.

  3. Select Add Forwarder.

  4. Enter the address you want to forward.

  5. Select the appropriate domain.

  6. Enter the destination email address.

  7. Save the forwarder.

For example:

Address to forward:
contact@example.com

Destination:
yourname@example.net

New messages sent to contact@example.com will then be forwarded to the destination you specified.

Forwarders Do Not Replace Mailboxes

A forwarder and a mailbox are different.

A mailbox stores email and can generally be accessed through Webmail or an email application.

A forwarder routes incoming messages somewhere else.

For example:

Mailbox:

support@example.com
        ↓
Stored on your hosting account
        ↓
Accessed through Webmail or an email app

A forwarder works more like:

support@example.com
        ↓
Forwarder
        ↓
support@anotherdomain.com

Choose the option that matches how you intend to use the address.

When Should I Use a Forwarder?

Forwarders can be useful for:

  • Contact addresses

  • Department addresses

  • Alternate addresses

  • Temporary addresses

  • Routing messages to another mailbox

  • Sending several addresses to one destination

For example:

info@example.com
contact@example.com
sales@example.com

could all forward to one mailbox if you don't need separate mailboxes for each address.

Forwarding to Multiple Addresses

Depending on your cPanel configuration, you may be able to create multiple forwarders for the same source address or use other forwarding features.

If multiple people need to receive messages sent to one address, consider carefully how you want those messages handled.

For example:

contact@example.com
        ├── person1@example.net
        ├── person2@example.net
        └── person3@example.net

Make sure everyone receiving the messages understands that the address is being shared or distributed.

Forwarding to an External Email Provider

A forwarder can send messages to an address outside your Have Freedom Hosting account.

For example:

support@yourdomain.com
        ↓
yourname@gmail.com

This can be convenient if you prefer to manage your email through another provider.

However, external mail providers may apply their own spam and security filtering.

A forwarded message may occasionally be treated differently from a message delivered directly to the destination mailbox.

Forwarding and Spam

Forwarding does not automatically make messages trustworthy.

Spam and unwanted messages can still be forwarded to the destination mailbox.

If you begin receiving excessive spam through a forwarder, consider:

  • Removing the forwarder

  • Reviewing your website's public email addresses

  • Using spam filtering where available

  • Using a dedicated mailbox instead

  • Reviewing your domain's email authentication settings

Don't assume that forwarding will filter unwanted mail.

Forwarders and Email Authentication

Email forwarding can interact with email authentication systems such as:

  • SPF

  • DKIM

  • DMARC

These systems help receiving mail servers determine whether messages are legitimate.

Because forwarded messages may be handled differently from messages delivered directly, some receiving providers may apply additional checks.

If you're experiencing delivery problems involving forwarded messages, check your domain's email authentication configuration.

If your DNS is managed through cPanel, relevant DNS records can be reviewed through:

cPanel → Domains → Zone Editor

You can also check:

cPanel → Email → Email Deliverability

for available email authentication and deliverability information.

Forwarding vs. Sending

An email forwarder generally handles incoming mail.

It does not automatically configure your email application to send messages as the forwarding address.

For example, forwarding:

contact@example.com

to:

yourname@example.net

does not necessarily mean you can send a message from contact@example.com.

If you need to send and receive mail as a particular address, creating and using a mailbox may be more appropriate.

Forwarders and Replying

Be careful when replying to forwarded messages.

Depending on your email application and the way the message was forwarded, your reply may go to:

  • The original sender

  • The forwarding address

  • Another address involved in the forwarding process

Always check the To and Reply-To fields before sending an important message.

Creating a Forwarder for an Address With a Mailbox

Depending on your configuration, an address may have both a mailbox and forwarding behavior.

Before doing this, understand where you want messages to be stored and delivered.

If you only need the address to route messages somewhere else, a forwarder may be sufficient.

If you need to retain messages on the hosting account and access them through Webmail, a mailbox may be more appropriate.

Removing a Forwarder

If you no longer need a forwarder:

  1. Open cPanel → Email → Forwarders.

  2. Find the forwarder.

  3. Confirm that it is no longer needed.

  4. Remove it.

Deleting a forwarder does not normally delete a mailbox with the same address.

However, always verify the configuration before making changes.

Common Problems

"My Forwarder Isn't Working"

Check:

  • The source address is correct.

  • The destination address is correct.

  • The forwarder exists in cPanel.

  • The sending message actually reached your domain.

  • The destination provider didn't reject or filter the message.

  • Your domain's DNS and mail configuration are correct.

If possible, send a test message and check for a delivery error or bounce message.

"The Forwarded Message Never Arrived"

The destination mail provider may have:

  • Rejected the message

  • Sent it to spam

  • Delayed delivery

  • Applied additional filtering

Check the destination mailbox's spam or junk folder.

If the sender receives a bounce message, save it. The error information can be very helpful when troubleshooting.

"Forwarding Works but Replies Don't"

Forwarding incoming messages does not automatically configure outgoing mail.

If you need to send mail using the original address, you may need to configure a mailbox and an email application appropriately.

"Messages Are Being Forwarded to the Wrong Place"

Review the forwarder in:

cPanel → Email → Forwarders

Confirm both the source address and destination address.

If multiple forwarders exist, check whether another rule is involved.

Best Practices

When using email forwarders:

  • Use clear, descriptive addresses.

  • Review forwarders periodically.

  • Remove obsolete forwarders.

  • Avoid forwarding sensitive mail unnecessarily.

  • Use strong security on destination mailboxes.

  • Check spam folders when troubleshooting delivery.

  • Keep your domain's email authentication configured correctly.

If you no longer need an address, remove its forwarding configuration.

When to Contact Have Freedom Hosting

Contact Have Freedom Hosting Support if:

  • You cannot create a forwarder.

  • The Forwarders feature is unavailable.

  • Messages aren't being forwarded despite a correct configuration.

  • You receive a mail delivery error.

  • You suspect a server-side mail problem.

  • You're experiencing unusual forwarding or delivery behavior.

When contacting support, include:

  • Your domain

  • The forwarding address

  • The destination provider or address

  • The exact error or bounce message

  • Whether normal mail delivery works

Never send email passwords in a support ticket.

Need Help?

Email forwarding is a simple way to route messages, but it doesn't replace a full mailbox and can interact with spam filtering and email authentication.

If you're unsure whether you need a mailbox, forwarder, or another email configuration, Have Freedom Hosting Support can help you determine the best option for your setup.
